Product tour

Everything DueBell does, in plain English.

DueBell takes over the part of your week that nobody enjoys: working out who still owes you, and asking them for the money. It reads your invoices, matches your bank statement, and follows up in your voice until the invoice is paid — without an accounting integration and without a single phone call.

Works from a spreadsheet, a PDF, or a photo — no accounting software Start with the loop
The loop

Three things happen.
You do one of them.

The whole product is a loop you close once a week in under a minute. Everything after that runs on its own.

Step 01You

Drop in two files

Your unpaid invoices — CSV, PDF, a photo, or forwarded email — and a bank statement downloaded from your online banking. That is the only manual step there is.

Step 02Automatic

Payments match themselves

Every transaction is compared against every open invoice. Certain matches are applied and closed. Anything ambiguous waits for one tap from you rather than guessing.

Step 03Automatic

The rest get chased

Whatever is still open moves into a reminder sequence in your own wording — friendly, then firm, then final — by email and SMS, until the money lands.

Invoices & matching

Two files in,
a full picture out.

Getting data into DueBell was designed for people whose invoicing lives in a spreadsheet and a phone camera — not in an accounting suite.

Bring invoices in however you already have them

Upload a CSV export, drop a folder of PDFs, photograph an invoice on site, or forward the email you already sent your client — every route ends in the same list. Clients are created from the invoices themselves, so there is no address book to fill in first, and near-duplicates are flagged for you to merge rather than merged behind your back.

The bank statement is a file you download and upload — never a live connection. It exists for one reason: so that a paid invoice stops being chased within minutes.

Upload & analyse

Invoices on one side, statement on the other, one button between them. This screen is the entire weekly ritual.

Automatic

Applied automatically

When the amount is exact and the name is a close enough fit, the payment is applied and every reminder for that invoice stops immediately.

One tap from you

We ask, we don’t guess

Partial payments, odd references and lumped transfers go to a short decision queue. One tap confirms or rejects — nothing is quietly assumed on your behalf.

Safety net

The freshness guard

If your statement is more than a week old, firm and final reminders are held back and DueBell asks for a newer file. Old data never becomes an awkward email.

Every message is written by you, once — and sent as static, approved text
Reminders

Friendly, then firm,
then final.

One sequence per invoice, on a schedule you set, by email and SMS. The tone escalates the way a good bookkeeper’s would — slowly, and never on a Sunday morning.

Day 3Automatic

Friendly

Assumes it slipped through, because it usually did. No pressure, no fee talk, just the invoice number and a way to pay.

EMAIL09:00 local
Hi Dana — invoice #1042 for the June clean was due on Monday. Might have got buried, so here it is again. Anything you need from me, just reply.
Day 10Automatic

Firm

Shorter, clearer, and states the number of days. Still your voice — just with less room for interpretation.

EMAIL + SMS10:00 local
Invoice #1042 is now 10 days overdue ($1,140). Could you let me know when it will be paid, or if something is holding it up?
Day 21Your approval

Final notice

Never sends on its own — not even on Autopilot. DueBell drafts it, you read it, and only then does it go.

WAITING FOR YOUheld
Invoice #1042 is 21 days overdue. This is the last reminder before I pause further work and pass it to collections.

Written in your brand voice

Point DueBell at your website and it drafts a full set of reminders that sound like you — warm, neutral or formal. You edit anything you want, then approve the set.

Three variants, rotated

Each template has three approved wordings that rotate, so a client chased twice in a quarter never gets the identical email twice.

No AI at send time

The model helps you write the templates. Sending is plain, static, pre-approved text — nothing is generated in the moment, so nothing can surprise your client.

Written onceSent hundreds of times

It should sound like the person who did the work

The reason clients answer these messages is that they read like you wrote them between jobs — because the wording is yours. You set it up once, approve the variants, and never think about phrasing a chase again.

Sending modes

How much of this
you hand over is your call.

Pick a mode for the whole account, then override it for that one client who needs handling differently.

Mode 01Hands off

Autopilot

Reminders go out on schedule without you. You get a weekly summary of what was sent and what came back. The final notice still waits for your approval.

Mode 02One tap

Approve first

Everything is drafted, queued and ready. You skim it between jobs and tap approve — the wording and timing are already handled.

Mode 03Full control

Manual

Nothing sends unless you send it. DueBell still tracks, matches and tells you who to chase — you decide when and whether.

Manual sending works in every mode, so you can always fire a reminder yourself — and a 48-hour minimum gap stops the same client being messaged twice by accident.

Safety nets

The features that exist so
this never embarrasses you.

Automation is only worth having if it fails politely. These are the brakes — most of them you will never notice working.

A reply pauses everything

Each invoice gets its own reply address. The moment a client answers, the sequence stops and the thread lands with you.

Promise to pay

“Friday” is a valid answer. Log the date, and DueBell goes quiet until then — and checks back gently if Friday passes.

Quiet hours

No 6am SMS, no weekend chasing. Messages go out inside working hours in your client’s timezone, or not at all.

Freshness guard

Statement older than your threshold? Firm and final reminders hold automatically until you upload a newer one.

48-hour minimum gap

Two people in your office, one client, one bad afternoon — the gap makes a double reminder impossible.

Per-client override

Your biggest account can sit on Manual while everything else runs on Autopilot. One switch, no separate workflow.

Where all of this is written down

The brakes above are product decisions. The rules underneath them — what we store, who can see it, how you export everything and how deletion works — live on their own page, in the same plain language.

Proof

The only feature that
argues for itself.

DueBell measures its own work: what was recovered after a reminder, inside a seven-day attribution window, divided by what you pay. No credit for invoices that would have been paid anyway, and no looser definitions to make the number look better.

Paper trail

Every invoice keeps
its own receipt.

The conversation you hope you never need — dated, delivered and exportable in one page.

“We never received an invoice”

Every invoice carries a timeline: when it was issued, when each reminder went out, which channel it used, whether it was delivered, when the client replied, and when the money arrived. Copy it into an email, or export the whole thing as a PDF.

Most people never open it. The ones who do tend to settle the argument in a single message.

Deliberate limits

Four things DueBell
won’t do for you.

Every one of these is a decision, not a missing feature. If any of them is a dealbreaker, better to know now than after you have uploaded anything.

It won’t connect to your bank

No open banking, no credentials, no live feed. You upload a statement file when you choose — which costs you about forty seconds a week and leaves nothing standing open.

It won’t act as a collections agency

DueBell sends reminders on your behalf. It does not report anyone, does not threaten legal action for you, and stops the moment you tell it to.

It won’t read your inbox

Replies are caught through per-invoice addresses. If a client phones you or emails your main account instead, you pause that sequence yourself — we would rather say so than pretend otherwise.

It won’t improvise your wording

AI helps you write templates once. At send time there is no model in the loop — only the static text you approved, rotated across three variants.

FAQ

Questions about the features

No, and that is the point. DueBell reads a CSV, a PDF, a photo of an invoice or a forwarded email. If your billing lives in a spreadsheet and your phone, everything on this page still works exactly as described.

Downloading a statement from online banking and dropping it into DueBell takes most people under a minute. New invoices can be added at the same time or forwarded to your ingest address as you issue them, so the weekly ritual is usually just the statement.

The next upload matches the payment and cancels the sequence for that invoice. If the statement is older than your freshness threshold, firm and final reminders are held back first — so a stale file cannot turn into a reminder for an invoice that is already settled.

Yes. Set that client to Manual while the rest of the account stays on Autopilot, pause an individual invoice, or log a promise to pay and DueBell goes quiet until the agreed date.
