Statements & matching

Your first statement upload

How to export a statement from your online banking and drop it into DueBell, what happens to it afterwards, and what to do when a payment cannot be matched with confidence. This is the whole weekly routine — about forty seconds once you have done it once.

In short: download a CSV or OFX file covering the last few weeks, drop it on the upload area, and confirm anything DueBell is unsure about. Paid invoices close themselves and stop being chased.

01

Export a statement from your bank

Log into your online banking as usual and look for an export, download or statement option on the account you get paid into. Choose a date range that covers everything since your last upload — a fortnight is a safe default for the first one.

  • CSV — works everywhere, and what most banks offer first
  • OFX or QFX — slightly more reliable for matching, if offered
  • camt.053 — common on business accounts in the EU

PDF statements will not work. They are designed for people to read, not for software, and the amounts cannot be extracted reliably enough to decide whether to stop chasing someone.

Worth repeating: you are exporting a file yourself. DueBell never connects to your bank, never sees your login, and cannot see anything you did not export.

02

Upload it to DueBell

Open the dashboard and drop the file onto the statement area on the right. You can drag it in or click to browse. Invoices go on the left; the two are separate on purpose, because they come from different places.

The upload area on the dashboard. Invoices on the left, statement on the right, one button between them.

Processing takes a couple of seconds. When it finishes you will see how many transactions were read, how many invoices closed automatically, and how many need a decision from you.

03

Confirm anything ambiguous

Payments that match an invoice exactly — same amount, recognisable name — are applied on their own and every reminder for that invoice stops immediately. Anything else waits for you in the decision queue rather than being guessed.

Typical cases you will see there:

  • Partial payments — the invoice stays open for the balance
  • Lumped transfers — one payment covering several invoices
  • Unfamiliar references — a trading name that differs from the invoice

Each one takes a tap. Confirming a name also teaches DueBell an alias, so the same client matches automatically next time.

The decision queue groups transactions by client, so several payments from one payer are confirmed together.
04

Check what the upload released

If your previous statement was more than seven days old, the freshness guard will have been holding back firm and final reminders. A fresh upload releases them, and the dashboard tells you how many went out as a result.

That is the routine complete. Nothing else needs doing until next week — new invoices can be added at any time, or forwarded to your ingest address as you issue them.
