Thirty-five questions,
answered properly.

Everything owners ask before they upload a single invoice — what it needs from you, what it sends, what it stores, and what it costs. If something here is still unclear, that is a failure of this page and we would like to hear about it.

Getting started

What DueBell is, and what you need before you begin.

DueBell chases your unpaid invoices for you. You upload your invoices and a bank statement file; it matches what has already been paid, and for everything still open it sends polite, escalating reminders by email and SMS in your own wording. Then it shows you exactly how much money came in because of those reminders.

No. DueBell was built specifically for businesses that do not use cloud accounting. It reads a CSV export, a PDF, a photo of an invoice taken on site, or an email you forward to your ingest address. If your invoicing lives in a spreadsheet and your phone, nothing here needs to change.

About fifteen minutes for the first run: create an account, upload your open invoices, drop in a statement, and approve the reminder templates DueBell drafts in your voice. After that the weekly routine is one statement upload, which takes under a minute.

No. The free plan covers five invoices a month, forever, and asks only for an email address. Card details come up only if you choose to start a trial of a paid plan.

Yes, and it is often where the difference is largest. Fewer clients usually means no admin person, no collections process and a strong reluctance to phone anyone about money — which is exactly the gap DueBell fills.

Invoices & payment matching

How your data gets in, and how DueBell knows what has been paid.

Four ways, and you can mix them: upload a CSV export, drop in PDF files, photograph an invoice with your phone, or forward the invoice email you already sent to your private ingest address. Clients are created automatically from the invoices, so there is no address book to fill in first.

From the bank statement file you upload. Each transaction is compared against your open invoices by amount, date and description. An exact amount with a close enough name match is applied automatically and every reminder for that invoice stops.

The invoice stays open for the remaining balance and DueBell notes what was already paid. Reminders continue for the outstanding part, in wording that acknowledges the payment received rather than pretending nothing arrived.

It goes into a short decision queue instead of being guessed. You see the transaction next to the likely invoices and confirm with one tap. This is deliberate: a wrong automatic match is far more damaging than a five-second question.

Yes. Invoices carry their own currency and are matched against transactions in the same currency. Your dashboard totals are shown per currency rather than converted at a rate that would be wrong by the time you read it.

They are tracked separately but chased together. A client with three overdue invoices gets one message listing all three, not three separate emails on the same morning.

Reminders

What gets sent, when, and how it sounds.

The messages read like you wrote them, because the wording is yours — DueBell drafts a set in your brand voice and you approve it. Each template has three variants that rotate, quiet hours are respected, and the sequence stops the moment someone replies. Most owners report the opposite of annoyance: clients simply pay.

Three tones on a schedule you control. A friendly nudge that assumes the invoice slipped through, a firm follow-up that states the days overdue and the amount, and a final notice that never sends without your approval.

On the schedule you set relative to the due date — for example three, ten and twenty-one days after. Sending always happens inside working hours in your client’s timezone, never at night or on weekends.

The sequence pauses immediately and the reply lands with you. Every invoice has its own reply address, so DueBell can tell that a response came in without ever reading your main inbox.

Yes, on paid plans — 100 texts a month on Autopilot and 300 on Command, sized so a normal month never runs out. SMS is used for the firmer stages, where it noticeably outperforms email. Registration, sender format and opt-out handling follow the rules of your client’s country, and email reminders stay unlimited on every plan.

It can state a late fee that you have already put in your own terms, in the wording you approve. It will not invent charges, calculate statutory interest on your behalf or threaten anything — that stays a decision for you and your accountant.

Control & safety nets

How much you hand over, and what stops it going wrong.

Yes — that is Approve-first mode. Everything is drafted, timed and queued, and you release it with one tap. There is also full Autopilot and a fully Manual mode where nothing sends unless you send it.

Yes. Any client can be set to a different mode than the rest of the account, and any single invoice can be paused indefinitely without affecting the others.

Log the promise with the date. DueBell goes quiet until then, and if the date passes without payment it checks back gently rather than jumping straight to a firm reminder.

A minimum gap of 48 hours between any two messages to the same client, applied across the whole account. So if you send something manually and a scheduled reminder is due, only one of them goes out.

The freshness guard holds back firm and final reminders once your statement is older than your threshold — seven days by default — and asks for a newer file. Stale data never turns into an embarrassing email.

Data & security

What we can see, and what we cannot.

No, and there is nothing to revoke because there was never a connection. You export a statement file from your own online banking and upload it. We hold no credentials, cannot see your balance between uploads, and cannot move money.

A name and one way to reach them — email, phone, or both. No tax IDs, no company registration numbers, no registered addresses. The full field-by-field list is on the security page.

No. AI helps you draft reminder templates during setup, on text you provide. Your invoices, clients, statements and message history are never used as training data.

Both, from inside your account, in one click each. The export includes every client, invoice, payment match and reminder in open formats. Deletion removes your records from the live system immediately and from encrypted backups within thirty days.

Nobody, until you open a support ticket and approve access for that specific case. Access is time-boxed to the ticket and logged — and you can ask for that log.

Plans & billing

How the pricing works in practice.

Every invoice you upload with a balance still outstanding counts once, in the month you upload it. Chasing the same invoice into a second or third month costs nothing more. Invoices already settled when you imported them do not count at all, and neither does a duplicate the system catches. Anything deleted within seven days of upload returns the count.

Nothing switches off. You get one line in the dashboard — “you’re at 54 of 50 this month, nothing stopped” — and everything keeps running. Only after two consecutive months over do we suggest the next plan, with your own numbers attached. A hard cut-off would lock a landscaper out in spring, which is exactly the month the money matters most.

Yes, from your account, without emailing anyone. Upgrades apply immediately and are prorated, downgrades take effect at the end of the period, and cancelling leaves your data intact until you export or delete it. When a 14-day trial ends your account simply drops to Starter — nothing is deleted or locked.

Prices are shown excluding tax. VAT, GST or sales tax is added at checkout based on your billing country, and valid EU VAT numbers are handled under reverse charge.

The company

Who is behind this, and what happens next.

DueBell is built by Piotr Wolniewicz through WEB ELEVATE LIMITED, a UK company. It came out of a specific frustration: needing a finance tool and refusing to use one, because none of them would work without a window into the business.

No. DueBell sends reminders on your behalf, in your name, about invoices you issued. It does not buy debt, report anyone to a credit bureau, or threaten legal action for you.

Your export works at any time and gives you everything in open formats, so there is no state where your records exist only inside DueBell. If the service were ever wound down you would get notice and a window to export before anything was deleted.

Reminders from your own address, deeper reporting, and support for more countries’ SMS rules. What we are not planning is a bank integration — that constraint is the product, not a gap in it.

Nothing matches that. Try a different word, or ask us directly — the link is just below.
